Many sales teams think of CRM as a tool to close more sales. But the relationship with the customer does not end when an order is finally placed. In fact, as far as the customer is concerned, it begins with the order.
Executing an order without mistakes, delivering on time, and communicating with the customer throughout the fulfillment process are vital for customer satisfaction and ensuring future sales to that customer.
Let’s see how TeamGram helps with that process.
Create a new order
To create a new order, click on the orders tab in the left navigation menu, and then click on the new order button.
Type in a customer name (company or contact) to select from the list, or create a new one.
Optionally, add an order description.
If you came here by converting a quote into an order, this section will be filled out automatically.
Add items to the same order
To select a product, go to the first field in the pricing table. Type in the brand, model, description or SKU of the product being ordered. As soon as you stop typing, TeamGram will look it up in the product list and list everything that contains the phrase you entered. Select one, or create a new product.
Next, enter the quantity and unit price for this item. If the selected product already has a unit price and measurement unit, they will be automatically entered here, but you can change them.
To add more item lines, click on the add new line link under the table.
Add options and discounts to each item
If you need to add additional details like measurements, color or special requirements for a product, click on the green pencil icon to the right of the item line. This will reveal more fields for that item.
If you want to apply a discount for this line item only, enter it in the discount field. You can enter discounts by absolute amount, or as a percentage of price.
Enter measurements, color, and special requirements in the info field. These will be displayed on the final order form, immediately after this item.
Apply a discount
In addition to item specific discounts, you can apply discounts to the whole order. You can specify absolute discount amounts, or percentages.
If your system administrator has enabled VAT calculations in My Company section of the control panel, the order form will have additional VAT-specific fields. You can specify individual VAT rates of each item, and calculate the total VAT of your order.
Order tracking fields
You will want to know the status and stage of your order to track it properly.
The status field shows whether an order is open (still in progress), fulfilled (delivered or shipped), or cancelled.
The stage field is customizable by your system administrator. It shows what stage of the preparation process an open order is currently in.
Make sure these are updated as the order is processed.
You can specify telephone numbers, delivery and billing addresses for your order. To look these up and automatically fill in these fields, use the links next to each field.
List your orders
You can list your orders simply by clicking on the orders tab in the left menu. To apply a preset selection criteria, use the selector at the top, or specify new criteria and save it for future use.
You can also view your orders in calendar view. Open orders are shown by their scheduled fulfillment dates, and fulfilled orders are shown by the date on which they were marked as fulfilled.
